Information you provide
We collect your name, email, optional phone or messaging contact, visiting-from location, inquiry category, organization if provided, service interest, visit dates and times, party size, meeting place, and questionnaire answers. Depending on your service, these may include interests, language, profession, host preferences, flight and luggage details, and business schedules. Optional requirements may reveal accessibility, dietary or health needs. Share only what is necessary; do not submit passport numbers, payment-card details or medical records. If you provide information about companions, make sure you are authorized to do so.
Why we use it
We use this information to respond to your request, check availability, plan your visit, recommend hosts, communicate with you, verify deposits, manage your booking and address support or security issues. Host matching and final arrangements are reviewed by our team, not decided by an automated AI service. The inquiry form requires your first name, last name and email so we can respond; other inquiry fields are optional. Required booking details are needed to arrange the service; optional fields may be left blank.
Payments
PayPal processes your US$50 deposit on its own website under its own privacy terms. Beyond Arrival records a transaction reference you provide and payment status, and verifies receipt manually. We do not receive your PayPal password or full payment-card details. Opening PayPal does not confirm payment.
Who receives information
Authorized Beyond Arrival staff, including the operations contact trevor@beyondarrivalshanghai.com, use booking details to arrange services. We share necessary itinerary and contact details with the host you finally confirm; we do not send your full questionnaire to all three candidate hosts. Netlify and its infrastructure providers process website, inquiry form and database data to host and secure the service. Inquiry submissions are stored in our private Netlify Forms workspace for authorized team review. PayPal separately processes payments. We may disclose information where required by law. We do not sell booking information or use it for targeted advertising.
Browser, device and international processing
The Android app opens the booking service in your browser. The current app requests internet access, not camera, microphone, contacts or device location permissions. Meeting locations are entered by you. The browser temporarily stores form drafts in session storage; an offline page may be cached. Older app versions may have encrypted booking links stored on your device. Hosting and payment providers can process connection information such as IP address, browser/device details and request logs. Hosting uses international infrastructure; data may be processed outside your country and outside mainland China. Contact us for information about processing arrangements before submitting sensitive details.
Retention
Our team manually reviews and removes booking personal information one month after a completed itinerary ends. Uncompleted or cancelled requests, including visit and partnership inquiries that do not proceed, are removed 30 days after the last contact. These are staff-managed procedures, not an automatic deletion feature. Records needed for outstanding disputes or mandatory accounting or legal obligations may be retained separately for that purpose. Provider logs and backups follow provider retention and deletion processes; removal from active booking records does not mean instantaneous erasure from every backup. Saved or downloaded private links remain on your device until you remove them.
Founding Guest photos and video
Applying for the Founding Guest Program records your interest and any recording preferences; it does not authorize recording or publication. Any recording, use on our website or social channels, exclusions and media retention will be explained and agreed separately before recording. Each adult decides individually; a guardian must separately authorize recording of a minor. Standard bookings are available without recording.
Children and security
An adult should make reservations for a family or group. Provide only the minimum child-related information needed to arrange the visit. We do not seek bookings submitted independently by children. The service uses HTTPS and restricted administrative access. Your private booking link grants access to your order: keep it private and do not post it publicly. No online service can guarantee absolute security.
Your privacy rights
To request access, correction, deletion, restriction of use, a copy of your information or withdrawal of optional consent, email info@beyondarrivalshanghai.com with the subject “Privacy request”. Include your booking ID and send from your booking email where possible; do not send the secret part of your booking link or a passport scan. We may ask for proportionate verification and will explain any lawful reason we cannot fully meet a request. Withdrawal does not reverse prior lawful processing and may affect services that require the relevant information. You may also contact your applicable data-protection authority. No app account registration is required; deletion requests relate to your booking records.
